Give each kind of information its own role

An appointment reserves time: “dentist on Thursday at 2 pm”. A task describes an action: “send the form”. A note keeps information: “the practice has moved”. Bringing them into one environment does not mean mixing them together. This distinction keeps a calendar readable without giving every passing idea a time slot or making every piece of information a task.

Choose an easy place to capture things

Use one place to put a thought before you forget it. That could be an inbox or an AI personal assistant. What matters is knowing where to return to review it. Avoid maintaining separate lists in messages, notes and paper if none acts as your reference. Capture first, then decide whether the item needs an action, a date or simply a place to keep it.

Connect information about the same commitment

A meeting can have a preparation task and a related document. Keep the appointment in the calendar and connect useful material instead of copying everything into several places. An administrative visit might involve a timed event, a task to find supporting paperwork and a note with the address. Each item keeps its role while remaining connected to the same real-world commitment.

Check what the assistant understood

When giving a sentence to AI, review the proposed date, time and action before confirming it. “Call the garage on Friday” does not necessarily mean an appointment is booked. Fil aims to structure this information while leaving suggestions for you to review. Centralizing is useful even without automation: the first goal is to find a commitment in the right place when you need it.
